Thirty days out: confirm the structure
Verify the final roster, payment schedule, rooming plan, arrival information, transportation and all tee times. Confirm whether caddies, forecaddies or carts are included and whether players must carry cash for fees or gratuities.
Publish the current itinerary in No Shanks and ask everyone to review their profile, arrival details and outstanding payments.
Fourteen days out: finalize the golf
Set pairings, tees, handicaps, teams, games and rules. Decide who can enter scores and how ties or settlements will be handled. Share dress requirements, practice options and any club policies that could surprise the group.
Seven days out: make the trip easy to follow
Confirm the daily departure time, first meeting point, transportation contact, weather outlook, dinner reservations and contingency plan. Schedule reminders so players receive information when it becomes useful rather than in one overwhelming message.
The day before: stop reorganizing
Send one concise arrival update and direct the group to the app for the latest schedule. Resist the urge to restart the group chat with every detail. The point of the final day is confidence: everyone knows where to look.
After the last round: finish the experience
Close the games, confirm final results and preserve the photos, courses, pairings and statistics. Ask for reviews while the experience is fresh. The recap is not an administrative afterthought; it is the beginning of the next trip.
A strong final month replaces repeated questions with timed confirmations and one visible plan.
